How it works
From client question to commission — in six steps.
The complete path of a charter booking through Yarentra, seen from all three sides: sales partner, yacht operator and charter team.
The process in one paragraph
A sales partner checks a yacht's availability for the client's date in the catalogue and submits an enquiry. Submission records that the client belongs to them. The charter team coordinates with the yacht operator, confirms or proposes alternatives, and issues quotation and booking confirmation. After the charter, the partner receives a commission settlement. Operator and partner never learn each other's identity at any point.
Key points up front
- The sales partner sees availability before promising anything to the client.
- Client protection is created automatically on submission — not first at booking.
- Prices and commissions are frozen at enquiry time and cannot shift afterwards.
- The yacht operator maintains only their calendar and rates; the charter team does the rest.
- All documents are produced from the booking at the click of a button, branded and in the client's language.
The six steps in detail
- 1
Check availability
The sales partner picks a yacht in the catalogue and the client's preferred date, and immediately sees the current status: available, on request, option held or booked. Calendars are maintained by the yacht operators themselves.
- 2
Submit the enquiry
The partner submits one or several preferred yachts as a single bundled enquiry with dates, guest count and requirements — or an open enquiry with no specific yacht. Price, commission and availability status are frozen on submission.
- 3
Client protection takes effect
On submission the platform permanently records which partner introduced the client, with timestamp and protection period. Possible duplicate enquiries are detected and routed to a person for review.
- 4
Charter team confirms
The charter team checks the enquiry with the operator, clears open points and confirms availability. If the preferred yacht is taken, it proposes vetted alternatives, which become visible to the partner only after internal approval.
- 5
Quote and booking
A quotation and booking confirmation are produced from the booking as branded PDFs, in English or German. Once the deposit is in, the booking is confirmed and automatically blocks the period in the operator's calendar.
- 6
Charter and settlement
After the charter the invoice is issued and the partner's commission falls due. The partner downloads the commission settlement as a PDF from the portal and can query any individual line.
Who does what?
Three parties work together without seeing each other. This table shows who handles which task and what information they can access.
| Role | Task | Sees | Does not see |
|---|---|---|---|
| Sales partner | Serve clients, check availability, submit enquiries | Yachts, own prices, own commissions, own clients | Operator identity, net rates, other partners' clients |
| Yacht operator | Maintain calendar, propose rates | Own yachts, own availability, own rates | Partner identity, end clients, retail prices, commissions |
| Charter team | Review enquiries, handle quotes and bookings, settle | All records needed to run the business | — |
What does the process look like for the operator?
For the operator the process is deliberately short. They sign in to the operator portal, confirm availability for the coming weeks and adjust blocks — realistically a few minutes a week.
What happens automatically
Bookings confirmed through the platform block the period automatically. Held options show as such and release the date when they lapse. When an availability confirmation expires, the entry falls back to "to be confirmed" instead of advertising availability nobody verified.
What the operator decides
Their rates. They propose them with a short note, the charter team reviews and applies them. No rate changes without a proposal and without approval, and every change is logged with its old and new value.
How long does all of this take?
The times below are typical from normal operations, not contractually guaranteed deadlines. They depend on how current the relevant operator's calendar is.
| Step | Typical timeframe |
|---|---|
| Registering as a sales partner | 2 minutes |
| Approval of the registration | 1–2 business days |
| Checking availability in the catalogue | Immediate |
| Submitting an enquiry | 2–5 minutes |
| Response from the charter team | Usually same or next business day |
| Producing quote, confirmation, invoice | Immediate, one click |
